Providing prospective vendors with a copy of your Organization Profile
is the third step in the Solutions Solves Practice Management Methodology. It is important for prospective vendor(s) to
receive this profile so they can better understand the size, scope and environment of your organization
as well as its current information system capabilities. The following information should be included in the
Organization Profile:
- Executive Overview
- Defining important considerations (completed as part of Step 2)
- Logistics Diagram
- Equipment On-Site with Current Software
- Software Applications Now in Use
Each of the above templates gives the prospective vendor(s) the type of information needed to make an informed
assessment with regard to its potential relationship with your organization. It is very important to establish a
clear understanding early on in the process.
When the Organization Profile is completed, it should be sent to the qualified vendors along with the
Vendor Profile, Vendor Instructions, and a cover letter requesting the Vendor Profile to be completed and returned
within 1-2 weeks. With the Organization Profile information, the vendor is better able to assess the organization
and its expectations relative to practice management software capabilities. The Organization Profile contains the
essential considerations and philosophical issues that are very important to your organization and should be important to the vendor.
These considerations give the vendor insight into your organization and assist the vendor in determining if it can
meet the organizations needs and expectations.
